(DJ/Music)All DJ's must agree that Powers Oregon and venue staff have full control over volume levels of music. We, at any time, can request the volume to be lowered. If this request is ignored or we have to ask more than three times we will, at our choice, turn off and end the music. In this case the DJ/Band in question will not be allwed back at any of our venues for future bookings, even if already booked with a future client. All music must end 30 minutes before the client's venue end time or at the legal end time as required by the county. Yamhill County is 10pm. (Catering Company)You and your catering company are responsible for all planning, set up, tear down, beverage service and dish ware and any other items you need for your day. Powers Oregon and your catering company will staff this room in this case. If you want to have more people than the allowed number please contact the site manager to get this approved in writing. Keep in mind that our chair and table count is only for up to 200 guest; additional chairs, tables and linens will have to be rented via your caterer. CATERING REQUIREMENTS/PARTNER & NON PARTNER CATERING COMPANIES: You are free to hire any catering company you wish. Our low rates are based on working with are partner catering companies. If you wish to bring in a non-partner company you will be charged a one time service fee of $250 to cover increased costs. You and your non-partner catering company are also required to read and sign a third party catering rules form and give it to your site manager within 30 days of your event. All items brought in by you and your guests, including garbage, must be removed by you and/or your food provider. If you don't use one of our partner caterers pelase remember remind your caterer of this requirement. You are responsible for taking all personal items from the bride and groom rooms and other ballroom areas, all left over flowers, favors, food, cake, anything thrown as you exit, etc. We will bill you at $50/hour for any items left behind that we need to clean up. This includes bottles, flowers, garbage, cigarettes, cigars, signes etc. BEER, WINE and ALCOHOL REQUIREMENTS: At The West End Theater you must use Aileron Hill Vineyard wines. You can either purchase them in advance or on your wedding night. If you wish to bring in outside wine you must pay a $250 one time service charge to cover our increased costs. If no wine is purchased on or before your event date we will assume you are not using Aileron Hill wines and bill your card on file for the $250 outside wine service charge. Our sites have no beverage minimum. No hard alcohol is allowed unless approved in writing, in advance. This approval must also include the hours during which hard alcohol service can occur. If no hours are noted then hard alcohol service is limited to 2 hours. A $1000 fee and forfeit of your security deposit will apply if you or your catering company brings in hard alcohol without obtaining written permission from Powers Oregon Company in advance. Any and all alcohol must be served by only a licensed individual. You can not simply bring in beer, wine or any alcohol for consumption. Unless you are using one of our partner caterers your food provider must provide us with a copy of his/her liquor license and servers permits. ALCOHOL CONSUMPTION GUIDELINES: This venue is not responsible to monitor or regulate alcohol consumption at any time; however, we retain the right to cut off any individual who appears to be intoxicated from consuming any additional alcoholic beverages. If any event gets 'out of hand' the venue manager or any venue staff, at its discretion, may stop additional alcoholic beverage service. We retain this right to help protect you and your guests. We are, however, in no way responsible for the actions of any guest of client at any time. This venue, Powers Oregon and all of it's employees and agents are not responsible for any illness, injury or death on or off the premises as a result of alcohol consumption or any other reason. Alcohol is restricted to certain areas of the venue. HOURS OF VENUE RENTAL: Clean-up must be completed and all parties must be off the grounds by the end of your rental time if no other events is booked on your day this is flexible but must be discussed in advance. This venue fee includes a rehearsal time of up to 60-minutes. All rehearsals are for principal wedding participants only and MUST be scheduled in advance. Not all dates/times will be open for rehearsals. Additional time may be purchased for $250/hour if no other event is scheduled. RESTRICTIONS: No confetti, birdseed or rice is allowed. All music must end no later than 30 minutes before the end time of your rental or based on any applicable laws. All clean up must also be completed by the end time of your rental as noted above on this agreement. VENDOR RULES: Any vendor that operates during the wedding or reception must obtain/provide a liability insurance binder naming the proper parties (see site manager for details). Vendors will not be allowed to work at the wedding or reception without first submitting this form to the site manager in advance of the wedding. (DJ/Music)All DJ's must agree that Powers Oregon and venue staff have full control over volume levels of music. We, at any time, can request the volume to be lowered. If this request is ignored or we have to ask more than three times we will, at our choice, turn off and end the music. In this case the DJ/Band in question will not be allwed back at any of our venues for future bookings, even if already booked with a future client. All music must end 30 minutes before the client's venue end time or at the legal end time as required by the county. Yamhill County is 10pm. (Catering Company)You and your catering company are responsible for all planning, set up, tear down, beverage service and dish ware and any other items you need for your day. Your catering company must return the venue to us cleaned (kitchen clean, floors swept etc.) and remove all garbage. All inventory items will be stored in our inventory storage areas and must be returned to the same location after your event. Flatware must be properly washed in the on-site dishwasher before being re-stocked or your catering company can provide its own flatware. Tables can NOT be slid access any surface but must be picked up two or more people. Any damaged caused by the catering company will be billed to the client! Your catering company can not arrive any earlier than the planned on arrival time. Catering requirements are not limited to the above list. All non-partner caterers are required to sign a non-partner catering requirements form along with the client and submit this form to a Powers venue manager at least 30-days before your event. (Florist)Flowers must only be delivered during clients specific rental time. Any flowers delivered prior to this time may have to be left outside the venue as we are often not there. (Cake Maker)The cake/desserts must only be delivered during clients specific rental time. Any items delivered prior to this time may not be able to gain access to the venue. PARTNER VENDORS: Powers works with a great team of partner vendors. We share business leads and ideas. If you do NOT want your information shared with our partner vendor team please indicate this in the notes below. OTHER: By digitally signing below you agree to the above terms and authorize Powers Oregon Company You authorize Powers Oregon Company to charge a $1000 deposit now and the balance due plus your $500 security and damage deposit 30-days before the event to the card noted below, unless another form of payment has been made. Powers Oregon will charge this card for any additional rentals, un-paid pre purchased wine, wine and/or catering fees and other fees, if any, at this time. A 3% credit card transaction fee will be added to all charges. If you wish to avoid this fee please pay using a check or cash before the payment is due. IMPORTANT: If the credit card noted below is not owned by you, by signing and submitting this agreement you are indication that you do have permission from the card's owner to use the credit card noted below and that they have read and understand this agreement. In all cases, we will determine this deposit to be from the bride and/or groom (signers of this agreement). This deposit is given by the client and received by the West End Theater under the specific terms of this agreement. All agreements must be made in writings. If you feel that something was offered that is NOT on this agreement it must be added; nothing verbal is applicable.
