Spend some time looking over our entire website. When you are ready, give us a call
or send an e-mail to set up a time to visit Vista Hills, Aileron Hill or The West End Theater. In this meeting we will go over specific pacakge and design options for each site
and give you a chance to ask any questions.
If you prefer, you can always set up a meeting here in our Portland showroom to narrow down your choices before actually visiting the sites.

2. TOUR EACH PROPERTY |
|
Make sure to bring a pen and paper and lots of questions to your site meetings. We will spend some time walking around each property. If it helps, please feel free
to take lots of pictures while touring the sites so you can remember what you like
most about each.
After your tour be sure to set up a meeting in our Portland showroom to view samples of our tables, chairs and linens and to learn more about
each site. If you want to reserve a venue we can begin the process in this meeting.

3. FILL OUT SITE AGREEMENT & BEGIN PLANNING(at Portland office) |
When you are ready please set up a meeting to come in and sign the venue agreement. We will take a $500 deposit at that time and kick off the planning process.

| 4. MEET OUR CATERING DIRECTOR & BEGIN PLANNING |
Once we get your agreement it is time to begin the site design planning stage. During this process be sure to send Kat, our venue manager, the
name and contact information for each of your vendors and use the client information sheet linked below. Also, be sure to contact our in house chef, Eric,
to begin your menu design and room set up!
Work with Eric to select where you would like to have your wedding
and reception (on the property). Be sure to use the site map for your venue.
Please also decide when you would like dinner to be served.
Once these items are complete Eric will send this information to Kat to work into your timeline and wedding day plan.

| 5. VENDOR SITE MEETINGS |
Now that the site design is complete it is time to plan out the remainder of the wedding day. During this step you may have vendors, like your DJ,
that wish to visit the site. Be
sure to let these individuals know that they are more than welcome to visit your site anytime; just make sure they contact us in advance to arrange a day and time. We do not need
to attend these meetings however we will want to notify the site that you are coming!
| 6. FINAL SITE WALK THROUGH / SCHEDULE REHERSAL (at venue) |
About 15-60 days before your event is a good time to visit the venue with your site manager and make final decisions regarding your timeline and the site design.
After this visit we will finalize the timeline, site design and rental order.
If you would like to hold a rehersal before your wedding be sure to contact us to set this up.
Be sure to remember that your balance is due 30-days before your event for the venue and 15-days for your rental order. We will
charge the card on file at that time unless another payment form has been given to us.

7. REHEARSAL (at venue) |
|
Your pastor/minister
will run this meeting so be sure to talk to him/her about how you want to enter/exit the ceremony, where you want
to stand (and your wedding party) and any other important details about the wedding ceremony. Depending on the
site your site manager many not need to attend the rehersal.

8. YOUR WEDDING DAY |
Finally, your wedding day has arrived!
Your only job today is to show up, get married, have fun and go home! With this goal in mind, please be sure to review the timeline
and other wedding day information a day or two before your event to be sure everything looks correct. Also, note your arrival
time on the timeline and be sure to get to the site as close to that time as possible.
