Before your wedding
1. Review our Website, Watch Online Videos, SET UP A SITE TOUR
Spend some time looking over our entire website. When you are ready, give us a call or send an e-mail to set up a time to visit your favorite sites! In this meeting we will go over specific package and design options for each site and give you a chance to ask any questions.
If you prefer, you can always set up a meeting here in our Portland showroom to narrow down your choices before actually visiting the sites.

2. Tour each property
Make sure to bring a pen and paper and lots of questions to your site meetings. We will spend some time walking around each property. If it helps, please feel free to take lots of pictures while touring the sites so you can remember what you like most about each.
After your tour be sure to look over are great list of preferred vendors. They are all familiar with our sites and can help you save a lot of money!
3. eGuest (Vista Hills and The West End Theater)
At Vista Hills and The West End Theater we now include use of our eGuest system. This way your friends and family can watch your wedding online if they can't attend! The live web cameras also make it much easier to plan your event without needing to visit the venue for every meeting!

4. Fill out Site Agreement & begin planning (online .pdf)
When you are ready please set up a meeting to come in and sign the venue agreement. We will take the deposit at that time and kick off the planning process. Depending on the facility, you may actually meet directly with the site owners to sign the agreement and hand off the deposit.

5. Meet our food providers & begin planning
Once we get your agreement it is time to begin the site design planning stage. During this process be sure to send your venue manager the name and contact information for each of your vendors as you book them. Also, be sure to contact our partner caterers and make your selection. This company will help you design a food menu and plan the set up of your event. You can find a list of our recommended caterers by visiting the VENDOR TEAM section of our website. Keep in mind that some sites require you to use their specific caterer(s).
Be sure to check out the catering and beverage rules for your specific site as each location is different. This information can be found in your site agreement. If your site is not managed by Powers Oregon Company we will pass your file to the venue owner or manager and they will contact you with the next steps!
6. Aileron Hill Suite at Hotel Vintage Plaza!

7. Vendor site meetings
Now that you have selected your vendor team it is time to plan out the remainder of the wedding day. During this step you may have vendors, like your DJ, that wish to visit the site. Be sure to let these individuals know that they are more than welcome to visit your site anytime; just make sure they contact us in advance to arrange a day and time. We do not need to attend these meetings however we will want to notify the site that you are coming!
Also keep in mind that we have a wonderful list of partner vendors who know our sites; most of these companies will offer you a discount for being a Powers client.
8. Final site walk through / Schedule rehearsal (at venue)
About 15-60 days before your event is a good time to visit the venue with your site manager and make final decisions regarding your timeline and the site design. After this visit we will finalize the timeline, site design and rental order.
If you would like to hold a rehearsal before your wedding be sure to contact us to set this up.
Be sure to remember when your balance is due; this differes for each site but is uaully 30-days before your event.
9. Rehearsal (at venue)
Your pastor/minister will run this meeting so be sure to talk to him/her about how you want to enter/exit the ceremony, where you want to stand (and your wedding party) and any other important details about the wedding ceremony. Depending on the site your site manager many not need to attend the rehearsal.
10. YOUR WEDDING DAY
Finally, your wedding day has arrived!
Your only job today is to show up, get married, have fun and go home! With this goal in mind, please be sure to review the timeline and other wedding day information a day or two before your event to be sure everything looks correct. Also, note your arrival time on the timeline and be sure to get to the site as close to that time as possible.
